Operations Assistant

Position Summary

The Operations Assistant will support the Director of Operations and Controller in the day‑to‑day business and maintenance operations of an FAA Part 145 repair station. This role interacts with all major functional leaders to help the company meet operational, financial, and customer service goals. The ideal candidate is highly organized, detail‑oriented, and capable of managing multiple projects in a dynamic aviation environment.

 

Required Qualifications

  • 5+ years of progressive experience supporting day‑to‑day business or field/mobile operations
  • Strong analytical, accounting, written, and verbal communication skills
  • Proficiency in Microsoft Office (Outlook, Word, Excel)
  • Working knowledge of QuickBooks and/or an ERP system (required)
  • Familiarity with web‑based database systems and willingness to learn new platforms
  • Ability to manage multiple priorities, deadlines, and moving operational parts

 

Preferred Qualifications

  • Experience working in an FAA Part 145 Repair Station or aviation maintenance environment
  • Background in data analysis, reporting, or software-based workflow systems

 

Job Type

  • Full-time, on-site
  • Typically 40–50 hours per week, Monday–Friday
  • Occasional overtime as required by operational needs

  • Candidate must be able to reliably commute or plan to relocate before start date
  • Note: SWAT is planning a relocation to Tarrant County in 2027; candidate must be willing to work from the new location when transitioned

 

Operations Assistant — Detailed Duties

 

General Office & Communication

  • Answer and route phone calls; take messages as needed (primary responsibility for Operations Assistant)
  • Maintain organized email filing systems, including Outlook folder creation and automated rules

 

Work Order Creation & Management

  • Assist DOO in creating estimates for customer requests using R‑7 Evaluation forms or technician inputs
  • Open and maintain Work Orders, including:
    • Verify aircraft details using FAA registry and/or technician confirmation
    • Create Work Order files in SharePoint and update Work Order Logs
    • Add airport codes to customer name entries
    • Create ExakTime tracking files with full location details
  • Enter labor hours, travel time, and mileage daily using timecard inputs
  • Enter receipts and expenses into LogMRO on the same day they are received
  • Monitor Work Orders daily for budget overages (labor, travel, materials)
  • Assist DOO in closing Work Orders to ensure accurate Invoicing

 

Travel & Logistics

  • Coordinate travel itineraries for technicians; ensure all travel data is entered into QuickBooks the same day
  • Monitor and track weekly per diem needs with the DOO
  • Assist with ordering office and operational supplies alongside the Accounting Assistant

 

Systems & Reporting

  • Maintain strong working knowledge of Microsoft Office, QuickBooks, ERP systems, and other required aviation databases
  • Support continuous improvement in reporting, analytics, and system workflows
